How BAMS ERP safeguards student academic records, institutional telemetry, faculty data, and administrative operations for Ayurvedic colleges.
1Overview & Scope
BAMS ERP operates as a technology service provider and data processor to educational institutions ("Institutions"). When an Ayurvedic medical college uses BAMS ERP, the Institution acts as the data controller and owner of all student, faculty, and academic records entered into the platform.
This Privacy Policy describes how we collect, process, secure, and handle institutional data on behalf of colleges and authorized users.
2Information We Process
To deliver ERP functionalities, the following categories of information are processed:
Institutional Information
College details, campus addresses, departments, course configurations, academic calendars, timetables, and system settings.
Student & Academic Data
Student profiles, registration numbers, contact information, attendance, internal assessments, exam records, and guardian details.
Faculty & Staff Records
Employee ID, department, Ayurvedic subject assignments, lecture rosters, attendance logs, and staff directory records.
Financial & System Logs
Fee structures, invoices, payment status, transaction references, audit logs, authentication tokens, and error diagnostics.
3BAMS Academic Structure Alignment
BAMS ERP is structured specifically to mirror statutory BAMS educational regulations. The system records academic progression across:
*The curriculum progresses strictly through the Three Professional years followed by the separate 12-month compulsory rotatory internship. Where applicable, records are mapped to designated terms within each professional year.
4How We Use Information
Information is processed solely to operate the ERP service, generate class/clinical timetables, manage attendance, track examination marks, facilitate fee collections, deliver institutional notices, enforce role permissions, and maintain platform security.
5Data Security & Tenant Isolation
BAMS ERP implements reasonable and industry-standard technical and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, or destruction:
Encrypted In Transit
All web and API traffic is encrypted using modern TLS/HTTPS protocols.
Tenant Data Segregation
Multi-tenant architecture logically isolates each college's records from other institutions.
6Role-Based Access Control (RBAC)
Access is partitioned strictly according to institutional user roles (Super Admin, Principal, Department Head, Faculty, Accountant, Librarian, Student, Parent). Users only access data relevant to their role. Support personnel do not access institutional records without explicit, logged administrative authorization.
7Institutional Data Ownership
All data entered into BAMS ERP remains under the exclusive control and ownership of the respective educational institution. BAMS ERP acts as a technology processor and does not claim ownership of student or institutional records.
8Third-Party Service Providers
We partner with trusted cloud hosting, database, SMS/email gateway, and certified payment providers to deliver services. Third parties are bound by strict data confidentiality agreements and may not use data for independent purposes.
9Data Retention & Deletion
Data is retained throughout the active institutional subscription. When an institution concludes its service, data export assistance is provided in supported formats, followed by secure de-provisioning of the active tenant database.
10Student & Minor Data Protection
Institutions are responsible for lawful collection and necessary parent/guardian consents. BAMS ERP does not solicit or collect student data for marketing or behavioral advertising.
11User Rights & Inquiries
Students, faculty, and guardians seeking access, corrections, or updates to their institutional records should contact their college administrator directly.
